Job Opportunity: Admin Assistant/Receptionist

Summary
This high-visibility administrative position supports program staff of Juneau Economic Development Council (JEDC) to provide a smooth-running and professional office.

Essential Job Functions

  • Screen all incoming correspondence and distribute appropriately
  • Draft routine correspondence
  • Take and prepare minutes of Board and committee meetings
  • Log incoming payments, date-stamp all incoming invoices and payments and forward to accounting staff
  • Screen and direct calls as directed by program staff, taking and delivering messages as requested
  • Set up conference calls and assist with phone-related staff requests
  • Respond to correspondence as directed
  • Coordinate website updates with consultants
  • Trouble-shoot computer and phone network problems and coordinate with vendors
  • Maintain all office equipment, supplies and filing systems
  • Assist with staff travel arrangements and expense reports as requested
  • Maintain staff and conference room calendars
  • Occasional outside errands for supplies or other program projects
  • 3 times per year collect consumer price data for national cost of living index
  • Other duties as assigned

Scope of Responsibility
Knows the policies, procedures and practices necessary to conduct essential job functions. Is aware of the role of the position and its potential impact on programs and financial condition of the organization.

Decision Making
Carries out duties and responsibilities under the supervision of the Director of Operations. Makes decisions and establishes work priorities on essentially procedure-oriented operations.

Authority
Does not direct the activities of staff or a function.

Communication
Exchanges routine information in an appropriate manner.

Qualifications

  • Upbeat, helpful, outgoing, personable, and able to relate well with diverse populations and age groups
  • Excellent organizational skills
  • Proven verbal, written and phone communications skills
  • Attention to detail and a commitment to completion of projects on a timely basis
  • Ability to multi-task, despite interruptions and work that is generated by diverse members of JEDC staff.
  • Proficient with Word & Excel, web-based email and contact management applications
  • Familiarity with QuickBooks, Adobe PageMaker, MS Publisher and Power Point and web site software a plus

Requirements

  • High School Diploma or GED and three years related experience.
  • Type 50 wpm
  • Must be bondable
  • Valid driver's license required
  • A commitment to the mission of the Juneau Economic Development Council

Compensation and Benefits
This is a permanent, full-time, non-exempt position based in Juneau, Alaska with occasional local travel.

The salary offered is based on the applicant's education level, experience and other attributes. JEDC offers outstanding benefits including medical, dental and vision insurance for employees who work over half time; a generous retirement contribution; holiday pay and progressive amounts of annual leave based on years of service.

Employment at the Juneau Economic Development Council is contingent upon successful completion of drug screening and criminal background screening as well as successful past employer reference checks. All employment at the JEDC is "at will" and may be terminated by either the employee or the employer at any time for any reason, with or without cause, with or without prior notice or warning.
